POSITION SUMMARY: 


This position provides administrative and database support to the development department.   Responsibilities include managing correspondence, scheduling, project management, internal reports/requests, gift processing, phones and other support activities as assigned or requested. 

 

ESSENTIAL FUNCTIONS:
 

 

  • Manage donor content in the database, including gift processing, donor acknowledgement, management and implementation of the appeal process.

  • Develop data queries and report production to coordinate reports and constituent information needed for direct mail, constituent analyses, record changes and other related projects or requests as needed.

  • Performs administrative support duties for leadership to include calendar management, travel, meeting coordination, phones or other related activities.

  • Prepare documents and/or presentations using MS Word, Excel, PowerPoint and/or Jenzabar EX.

  • Ensures assigned meeting minutes are accurately and efficiently generated, maintained and disbursed. 

  • Process donations and prepare acknowledgement letters, in addition to, other correspondence.

  • Manages various administrative support level projects, reports and tasks.

  • Effectively and appropriately works with other departments on campus

  • Maintains confidentiality as necessary.

  • Works special events, which includes an occasional evening and/or weekend.

  • Performs additional job related duties as assigned.

 

REQUIREMENTS:

 

  • A minimum of 3 years related experience.

  • Two years of college preferred.

  • Affinity with the overall mission of the University of Saint Mary.

  • Effective interpersonal and communication skills.

  • Attention to detail and accuracy.

  • Project a positive, professional, customer focused image for the university.

  • Proven ability to work independently as well as part of a team in a professional and confidential manner.

  • Proven success with prioritizing projects/tasks.

  • Initiative in problem solving.

  • Proficiency in Microsoft Word, Excel and PowerPoint.

  • Database management experience.

  • Affinity with the overall mission of University of Saint Mary.

  • Must be able to successfully pass required background screening as appropriate.
