Position Summary:

This position provides accreditation, assessment and administrative support to the Education department. Responsibilities include managing the data collection system, correspondence, scheduling, project management, internal reports/requests, student records processing, phones and other support activities as assigned or requested.

Essential Functions:

  • Supports Education Department Chair and provides administrative duties for leadership to include calendar management, travel, meeting coordination, phones or other related activities.

  • Responsible for managing administrative, clerical and office activities.

  • Manages the education program data collection system used for program improvement and accreditation.

  • Responds to current student inquiries, assist education students in course registration, monitoring plans of study, creation and maintenance of student files

  • Coordinates continuing education courses

  • Assists faculty with course and instructional needs

  • Assists with preparing documents and/or presentations using MS Word, Excel, PowerPoint, Taskstream LMS, and/or Jenzabar EX.

  • Analyzing and displaying student performance data to explain trends to multiple stakeholders.

  • Process and prepare a variety of letters, surveys and/or other correspondence.

  • Manages various administrative support level projects, reports and tasks.

  • Effectively and appropriately works with other departments on campus.

  • Maintains confidentiality as necessary.

  • Assist with organization of special events, which may include an occasional evening and/or weekend.

  • Maintains professional and technical knowledge by attending educational workshops; benchmarking professional standards; reviewing professional publications; establishing personal networks.

  • Performs additional duties as assigned.

  • Oversees work study and graduate assistants

Qualifications:

  • Bachelor degree required, Masters preferred

  • A minimum of 5 years related experience.

  • Two years working in higher education is preferred.

  • Effective interpersonal and communication skills.

  • Attention to detail and accuracy.

  • Project a positive, professional, customer focused image for the university.

  • Proven ability to work independently as well as part of a team in a professional and confidential manner.

  • Demonstrated organizational skills, with the ability to handle and prioritize multiple projects simultaneously in a timely manner

  • Initiative in problem solving.

  • Proficiency in Microsoft Word, Excel and PowerPoint.

  • Database management experience

  • Affinity with the overall mission of the University of Saint Mary.
